PDF Board papers are the worst

Honestly. If you’re reading this and you are collating your board papers and then PDFing them. This whole blog is for you.

So, the week before your Board meeting. You need to get the papers out. You’re chasing the team up for their contributions, proofreading them, collating them. You PDF them and someone sends you one more and says ‘can you just slot this one in’ NO SHARON I CAN’T JUST SLOT IT IN. (apologies to all the Sharon's I feel Karen has just been over used).

This is why we encourage all our clients to use Board software. There’s a few out there and they vary in price and in what they can do. The interfaces are all very similar kind of a drag and drop scenario.

Our top pick is BoardPro it’s easy to use, has great functionality and our fave part is it offers not for profit pricing. We have a few not for profit Boards so this is something we love!

For loading up your board papers you just drag and drop. You type your minutes, actions and decisions straight into it and it tracks them all. The minutes automatically pull through to the next meeting to be approved. It makes life just soooooooo much easier!

It’s not just about making life easier though. Being on a board means you are legally responsible for the governance of that organisation (even if you’re a volunteer) so having good processes and visibility over your governance documentation is key. It gives you piece of mind and makes accountability much simpler.

There are other platforms like Diligent and Stellar and it’s definitely key you choose the right one for you and your organisation. Either way I’d highly recommend you go and get something though. There’s just no need to waste so much time on board admin anymore.

My timesheet from a few weeks ago shows it took me 14 minutes to load up Board papers for one of our clients – 14 minutes.

So, if you’re on the fence get off and bloody get the license I promise you won’t regret it. Board meetings can be painful enough without all the faff around before it.
