As a business owner, you have limited resources, including time and manpower. There are never enough hours in the day right?!
Running a business is a challenge, and productivity is often the key to success. As a business owner, you have limited resources, including time and manpower. There are never enough hours in the day right?! You have to wear multiple hats and constantly keep switching between them. Some key productivity hacks can help you get maximum return for the same amount of hours. If you’re wanting to grow you’re going to have to be streamlined, efficient and effective. I’ve got 5 key areas you could look at:
Outsourcing: Leveraging External Resources
Outsourcing is an invaluable tool for businesses. It allows you to delegate specific tasks to external professionals, freeing up your time and internal resources. By outsourcing, you can focus on your core competencies, knowing that specialised professionals are handling other essential aspects of your business. You’re not just giving yourself time, you’re giving yourself head space. Operating both in and on the business is a challenging head space to be in. Having someone support you and keep track of some of the things IN your business you can work ON your business without dropping any balls.
Time Management: Set Clear Priorities
Effective time management is crucial for business owners. You should prioritise tasks based on their importance and deadlines. The Eisenhower Matrix, which categorizes tasks into four quadrants (urgent and important, not urgent but important, urgent but not important, and neither urgent nor important), can help you decide which tasks to tackle first. By focusing on what's most important, you ensure that your time is spent on tasks that directly contribute to your business's success. This is something that links in well with outsourcing, your can make sure you’re concentrating on the important and someone else can concentrate on everything else.
Time Blocking: Creating Dedicated Time Slots
Time blocking is a powerful technique to structure your workday. Multitasking is a myth. I HATE it when I see recruitment adds that say‘ must be good at multitasking’ NO. I prefer ‘must be able to prioritise business needs and work within deadlines’ We all know no one can multitask so God knows why we keep asking for it!! Anyway. Rant over. Time blocking, group tasks together so your brain isn’t flitting between things. It’s way better for concentration and a good technique if you’re a procrastinator and it means you’ll be able to make the most of your day.
Time Tracking: Monitor and Analyse Your Work
Time tracking is a fundamental element of productivity improvement. Using time tracking tools or apps, you can gain insights into how you spend your workday. This data allows you to identify areas where you may be wasting time and make necessary adjustments. It can be a pain in the arse until you get used to it (like looking back and realising you left it on and have now done 26 hours of admin) when done accurately time tracking can help you estimate how long specific tasks take, enabling you to allocate time more efficiently in the future and give you a good gauge on whether it’s time to delegate that specific task or group of tasks.
Systems and Processes: Streamline Operations
Efficient systems and processes are essential for maximising productivity. You should document and streamline your business operations, making them repeatable and scalable. By establishing standard operating procedures (SOPs), you can ensure that tasks are performed consistently and efficiently, even when you delegate them to employees or outsource them. This reduces errors and saves time. If it’s in your head it’s a risk. Efficient running systems and processes will directly impact your bottom line.
Productivity is a great way to maximise profit within a business. It’s something that can be tracked, improved and streamlined continuously. By leveraging simple tools, techniques of people you’ll be ablet o scale and grow your business in a sustainable profitable way.
If you’re wanting to grow or in a period of growth then you’ll need this down to a T.
We love a good SOP here so if you need help with that reach out 😊
